Ladies Who Lit – Private Reading Retreat Terms & Conditions
1. Booking & Payment
- To secure your private retreat, a non-refundable deposit of 50% of the total retreat cost is required at the time of booking.
- The remaining 50% balance is due no later than 60 days before the retreat start date.
- All payments must be made via Stripe. We do not currently offer payment plans.
- Retreats are priced as a flat fee, which includes accommodation, meals, activities, and any requested extras agreed upon at booking.
- There is no minimum or maximum group size, but venue availability and cost may vary depending on your group needs.
- The deposit is non-refundable in cases of voluntary cancellation by the booking party. However, nothing in this clause affects statutory rights that may arise under applicable travel regulations where unavoidable and extraordinary circumstances occur at or affecting the destination and significantly impact the performance of the retreat or travel to the destination.
2. What’s Included
- Your retreat package may include accommodation, a private chef, book club sessions, activities (e.g. murder mystery, workshops, yoga), and a dedicated Ladies Who Lit host — depending on the custom proposal created for your group.
- All additions and extras will be agreed upon upfront and included in your flat rate.
3. Cancellations & Changes
- The 50% deposit is non-refundable in cases of voluntary cancellation by the booking party. This does not affect statutory rights that may arise under applicable travel regulations in the event of unavoidable and extraordinary circumstances.
- If you cancel your booking more than 90 days before the retreat, you will receive a 50% refund of any additional amount paid beyond the deposit.
- If you cancel within 90 days of the retreat, no refund will be issued.
- These cancellation provisions apply to voluntary cancellations only and do not override statutory rights where unavoidable and extraordinary circumstances significantly affect the retreat or travel to the destination.
- If Ladies Who Lit is unable to deliver the retreat due to unforeseen circumstances (e.g. illness, travel restrictions, force majeure), you will receive a full refund.
- Date changes or postponements are not offered for voluntary cancellations once the booking is confirmed.
- We do not offer refunds for individual guests who drop out after the booking has been confirmed.
- The non-refundable deposit reflects venue reservations, supplier commitments, planning, and administrative costs incurred in advance of the retreat and represents a genuine pre-estimate of loss in the event of cancellation.
- By confirming your booking and paying the deposit, you acknowledge that the retreat is provided on specific dates and that voluntary cancellations are subject to the cancellation policy outlined above. This does not affect statutory rights that may arise under applicable travel regulations.
If unavoidable and extraordinary circumstances occur at or affecting the retreat destination which significantly affect the performance of the retreat or the ability of participants to travel to the destination, participants may terminate the contract before the retreat begins and receive a full refund of all monies paid.
Examples may include, but are not limited to:
• Government travel bans or restrictions affecting travel to the destination
• War, armed conflict, terrorism, or serious security risks
• Natural disasters or major environmental events
• Public health emergencies
Refunds issued under this provision will be processed within 14 days in accordance with applicable travel regulations.
4. Travel & Insurance
- Guests are responsible for arranging and covering all travel to and from the retreat location.
- It is a condition of booking that all guests have valid travel insurance, including cover for cancellations, medical expenses, and personal belongings. Proof of insurance may be requested prior to travel.
- Ladies Who Lit may assist with travel logistics upon request, but guests remain responsible for arranging and managing their own travel.
5. Retreat Hosts & Assistance
- Depending on your retreat package, a Ladies Who Lit host may or may not stay onsite with your group. This will be confirmed during booking.
- We offer guest assistance between 9am and 5pm throughout the duration of your retreat. Emergency contact details will be provided in advance.
6. Guest Responsibilities
- We ask all guests to uphold a standard of respectful behaviour throughout the retreat.
- Smoking is not permitted indoors at any of our venues.
- Guests are responsible for any damage to property during their stay.
- Alcohol is not provided as part of the package, but guests are welcome to bring their own unless otherwise stated in the venue policy.
7. Liability & Legal
- Ladies Who Lit is not liable for any injury, loss, or damage incurred during the retreat, except where such liability arises under applicable travel law or cannot legally be excluded. All guests will be asked to sign a waiver/disclaimer in advance, where applicable.
- Personal data provided during the booking process will be handled in accordance with GDPR regulations.
